Formal Email
A formal email makes a clear, polite request to someone you do not know personally, such as an official, an organisation or a local authority. It should be well organised, respectful in tone and specific about what you are asking for.
Unit 6: The Space We Share (Concept 6: A World for All)، صفحة Writing a Formal Email (صفحة 20).
A formal email uses polite, complete sentences, no short forms and no slang. An informal email to a friend is relaxed and personal.
| Formal email (رسمي) | Informal email (لصاحبك) | |
|---|---|---|
Dear Sir or Madam, / Dear Mr Hassan, | Hi Omar, / Dear Omar, |
I am writing to … | How are you? Sorry I haven’t written for ages! |
I am / do not / would | I’m / don’t / can’t عادي |
I would be grateful if … / Would it be possible to …? | Can you …? |
I look forward to hearing from you. / Yours faithfully, | Write back soon! / Love, / Cheers, |
Yours faithfully,
Yours sincerely,
|---|---|---|
| Subject line | Clear and specific, e.g. ‘Request for Support: School Wetland Awareness Day’ | عنوان الإيميل: واضح ومحدد، فيه نوع الإيميل + الموضوع. |
| Greeting | Dear Mr/Ms [Name], / Dear Sir or Madam, | |
| Opening | I am writing to … / I am writing on behalf of … |
| Making a request | I would be grateful if … / Would it be possible to … |
| Giving reasons | This is important because … / As a result … | |
| Closing | I look forward to hearing from you. / Please let me know if you require further information. | |
| Sign-off | Yours faithfully, (unknown name) / Yours sincerely, (named person) |

Reported Speech
The task asks for at least one conditional sentence in your request. Unit 6 also teaches reported speech, which is useful for giving evidence: *Local fishermen told us that their catch had fallen.*
|---|---|---|---|
| First conditional | If + present, … will / can … | شرط ممكن يحصل | If your office provides bins, our club will empty them every week. |
| Second conditional (polite) | If + past, … would … | طلب مؤدب جدًا | If you could send an expert, we would be very grateful. |
| Polite conditional | I would be grateful if you could … | I would be grateful if you could place warning signs near the lake. |
| Warning (cause & effect) | If no action is taken, …will … | If no action is taken, the birds will stop visiting the wetland. |
| Reported speech | said / told us (that) + backshift | نقل كلام حد كدليل | A fisherman told us that he had caught fewer fish that year. |
- I am writing on behalf of the students of Al-Amal Secondary School.on behalf of = بالنيابة عن.
- Would it be possible to organise a clean-up day next month? ؟
- I would be grateful if you could visit our school.
- If you agreed to support us, fifty students would volunteer.Second conditional:
- The fishermen said that their income was falling. (is ← was).
- This is important because the wetland is a home for migratory birds.
- Please let me know if you require further information.
(concerned student / club leader). (local environmental office / principal / council).
- اكتب Subject line واضح: Request for Support: + الموضوع.
Dear Sir or Madam, عارفه؟
(I am writing on behalf of … to request …).
(As a result).
(I would be grateful if … / Would it be possible to …?) (If you could …, we would …).
Please let me know if you require further information. + I look forward to hearing from you.
(Model Answer)
Subject: Request for Support: Protecting the Wetland Near Our School
Dear Sir or Madam,
I am writing on behalf of the Environment Club at Al-Nour Secondary School to request your support in protecting the wetland on the edge of our town.
Over the past two years, our members have noticed that more and more rubbish is being dumped near the water. In addition, local fishermen told us that their catch had fallen sharply. This is important because the wetland is home to many migratory birds, and it also provides an income for local families. As a result, any damage to it affects both people and wildlife.
I would be grateful if your office could place warning signs and recycling bins around the area. Would it be possible to send an expert to speak to our students? If you could support a clean-up day next month, we would gladly provide fifty volunteers.
Please let me know if you require further information. I look forward to hearing from you.
Yours faithfully,
Mariam Hassan
President, Environment Club
- Subject line: واضح ومحدد: نوع الإيميل (Request for Support) + الموضوع (Protecting the Wetland).

- Opening: جملة واحدة فيها إحنا مين (on behalf of the Environment Club) وعايزين إيه (to request your support).
- Giving reasons: المشكلة (رمي زبالة) + دليل بالـ reported speech: local fishermen told us that their catch had fallen (backshift) + This is important because + نتيجة بـ As a result.
I would be grateful if … / Would it be possible to …? If you could support …, we would gladly provide …
Please let me know if you require further information. / I look forward to hearing from you.
- Sign-off: Yours faithfully, لأن التحية كانت Dear Sir or Madam.
- Tone: رسمي ومحترم، مفيش اختصارات (I am / do not)، ومفيش كلام عاطفي زيادة.
Both are formal. A formal email focuses on a clear, polite request. A persuasive email builds a stronger case with evidence and answers a possible concern before asking for support.

|---|---|---|

I would be grateful if … / Would it be possible to … | I would really appreciate your support in … / Specifically, we are requesting … |
This is important because … | According to … / One volunteer explained that … |
| إضافة مهمة | conditional للطلب | Addressing a concern: Although some may argue that …, … |
I look forward to hearing from you. | Thank you for considering this request. / I would welcome the chance to discuss this further. |
